Privacy note: Stripe processes Pro billing for the $18/month plan, and we use or may use Google Analytics and similar analytics cookies to measure site and product usage. We do not sell personal information.

1. Who we are

Purchase Order Tracker is a United States software-as-a-service product for creating and managing purchase orders, vendors, item catalogs, reports, and related purchasing records. 2. Information we collect

We collect account information such as your email address, hashed password, acceptance records for our legal terms including legalAcceptedAt and legalVersion, and related authentication and account settings. Password reset email may be sent from no-reply@purchaseordertracker.com.

We collect business and purchase order content that you enter, upload, generate, or export through the service, including vendors, items, item bundles, purchase orders, comments, custom PO logos, branded PDF files, CSV exports, vendor spend reports, and related metadata. You are responsible for making sure you have the rights to submit this content.

We collect technical information such as IP address, device and browser data, pages or features used, timestamps, local storage or cookie identifiers, log data, diagnostics, and error information. If you contact support, we collect the content of your message and the contact information you provide.

3. Payments and Stripe billing metadata

Stripe processes paid subscriptions for Purchase Order Tracker Pro, which is live at $18/month. Pro features include item bundles, custom PO logos, branded PDF, CSV export, and vendor spend reports. Stripe processes card numbers, card security codes, and related payment details; we do not store full PAN or CVV on Purchase Order Tracker servers. We may receive and store limited Stripe billing metadata, such as Stripe customer identifiers, subscription identifiers, invoice status, plan and price identifiers including price_1U4Af9Fm3dRptlbgbyonEsYN, payment status, and billing contact details needed to operate subscriptions and support your account.

4. Analytics, cookies, and local storage

We use cookies, local storage, and similar technologies for sign-in, security, session management, preferences, checkout, performance, analytics, and fraud prevention. Disabling these technologies may prevent core features from working.

We use or may use Google Analytics and similar analytics providers to help measure traffic, usage, and product performance. These providers may collect information such as device identifiers, IP address, browser and device information, pages viewed, referrers, and usage events. 5. How we use information

We use information to provide, maintain, secure, and improve the service; create and authenticate accounts; store, display, export, and process your purchase order content; process Pro subscriptions; provide billing and account notices; send password reset and service emails; respond to support requests; analyze usage; debug and monitor performance; detect fraud, abuse, and security incidents; enforce our Terms of Use; and comply with legal obligations.

We do not use customer purchase order content to train public AI models.

6. Sharing and processors

We do not sell your personal information. We share information with processors and service providers that help us operate the service, including hosting and infrastructure providers, database and storage providers, email delivery providers, support tooling, Stripe for payment processing and subscription management, and Google Analytics or similar analytics providers. These providers may process information only as needed to provide services to us, protect the service, or comply with law.

We may also disclose information if required by law, legal process, or government request; to protect the rights, safety, and security of Purchase Order Tracker, users, or others; in connection with a merger, financing, acquisition, reorganization, or sale of assets; or with your direction or consent.

7. Customer content and ownership

Purchase Order Tracker is designed around owner-scoped customer data. Your vendors, items, purchase orders, logos, and reports remain your content. We use that content only to provide, secure, maintain, support, and improve the service; fulfill your instructions; and comply with law.

8. Retention

We keep account and purchasing data while your account is active or as needed to provide the service. We may retain information for longer where needed to maintain backups, complete billing and accounting records, resolve disputes, prevent fraud or abuse, enforce our agreements, comply with legal obligations, or maintain security logs. Backup copies may persist for a limited period before being overwritten or deleted in the ordinary course.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including HTTPS in transit and hashed password storage. Stripe handles full card numbers and CVV. No method of transmission, storage, or processing is 100% secure, and we cannot guarantee absolute security.

10. Your choices and rights

You may request access, correction, export, or deletion of your information by emailing info@purchaseordertracker.com. We may need to verify your identity before completing a request, and some information may be retained where required or permitted by law.

Depending on where you live, including California, the EEA, the United Kingdom, or other jurisdictions with privacy laws, you may have rights to know, access, correct, delete, export, object to, restrict, or appeal certain processing of your personal information. We do not sell personal information. If you are in the EEA or UK, our legal bases may include performance of a contract, legitimate interests, consent, and compliance with legal obligations.

11. Children

The service is not intended for children under 16. You must be at least 16 years old to use Purchase Order Tracker. We do not knowingly collect personal information from anyone under 16. If you believe a child under 16 has provided personal information, contact us so we can take appropriate action.

12. International transfers

The service is operated from the United States. If you access it from another country, your information may be processed in the United States or other locations where our processors operate. Those locations may have data protection laws different from the laws where you live.

13. Changes

We may update this policy from time to time. Material changes will be communicated through the service, by email, or by posting an updated policy. The effective date and legalVersion above identify the current version.
