Terms of Use

Data-loss note: you are solely responsible for maintaining independent backups and records of your purchase orders and business content. Purchase Order Tracker is not liable for data loss, corruption, or unavailability as described below.
1. Agreement
These Terms of Use govern your access to and use of Purchase Order Tracker, including https://purchaseordertracker.com, https://app.purchaseordertracker.com, and related services that link to these Terms. By creating an account, subscribing, clicking to accept, or using the service, you agree to be bound by these Terms and our Privacy Policy. If you use the service on behalf of an organization, you represent that you have authority to bind that organization. If you do not agree, do not use the service.
2. The service
Purchase Order Tracker provides tools to create, store, print, export, and manage vendors, items, bundles, purchase orders, logos, dashboard metrics, and related purchasing records for your internal business use. The service is not a substitute for your official accounting, legal, tax, procurement, compliance, audit, or recordkeeping systems. You are responsible for maintaining any records required for your business.
3. Eligibility and accounts
You are responsible for your account credentials and all activity under your account. You must provide accurate information, keep it current, and notify us promptly of unauthorized access or security concerns. You must be at least 16 years old to use the service. You may not share accounts in a way that avoids plan limits or creates security risks.
4. Free and Pro plans
The Free plan includes unlimited purchase orders, vendors, items, and dashboard access. Purchase Order Tracker Pro is live at $18/month and adds item bundles, custom PO logos, branded PDF, CSV export, vendor spend reports, and billing management. Current plan details may be displayed on the marketing site, in the app, or at checkout.
5. Subscriptions, renewal, and cancellation
Pro subscriptions are billed through Stripe and renew automatically each month until canceled. You authorize Stripe and Purchase Order Tracker to charge the payment method provided at checkout for recurring subscription fees, applicable taxes, and any other charges you authorize. You may cancel before renewal through the billing portal or by contacting us at info@purchaseordertracker.com. Cancellation stops future renewals but does not automatically refund prior charges. Payments are generally non-refundable except where required by law or expressly approved by us. You are responsible for applicable taxes and for keeping billing information current.
6. Payment processing
Stripe processes card and payment details. We do not store full card numbers, full primary account numbers, or card security codes on Purchase Order Tracker servers. Your use of Stripe-powered checkout, billing portal, or payment processing may also be subject to Stripe's terms and policies.
7. Your content
Your vendors, items, purchase orders, logos, and other business content remain yours. You grant us a limited license to host, process, back up, display, transmit, and otherwise use that content only as needed to provide, secure, support, and improve the service and comply with law. You represent that you have the rights needed to submit content to the service and that your content and use of the service will not violate law or third-party rights.
8. Acceptable use
You may not misuse the service, interfere with its operation, attempt to access another user's data, bypass security controls, upload malicious code, use the service for unlawful activity, infringe intellectual property or privacy rights, submit deceptive or harmful content, probe or scan systems without authorization, reverse engineer or scrape the service except where allowed by law, or use automated systems in a way that harms the service or other users.
9. Backups, records, and data loss
You are solely responsible for exporting, backing up, and maintaining independent copies of your purchase orders, reports, files, and other business records. Purchase Order Tracker may experience errors, outages, bugs, migrations, hardware failures, third-party service outages, security incidents, or other events that can affect content. To the fullest extent permitted by law, we are not liable for data loss, corruption, deletion, alteration, or unavailability, including events related to migrations, bugs, hardware, or third-party outages.
10. Availability and changes
We may update, improve, suspend, or discontinue features from time to time. The service is provided on an "as is" and "as available" basis. We aim to provide reliable service but do not guarantee uninterrupted availability, error-free operation, data preservation, or that every error will be corrected.
11. Third-party services
The service may rely on or link to third-party services, including Stripe for payments and subscription management and Google Analytics or similar tools for analytics. We are not responsible for third-party services, and your use of them may be governed by separate terms and privacy policies.
12. Electronic communications
You agree that we may communicate with you electronically, including by email, in-app notices, billing portal messages, or posting updates to the service. Notices sent electronically satisfy any legal requirement that communications be in writing to the extent permitted by law.
13. Termination
You may stop using the service at any time. We may suspend or terminate access if you violate these Terms, create security or legal risk, fail to pay fees, or misuse the service. After termination, your right to use the service ends, but provisions that by their nature should survive will survive, including payment obligations, ownership, disclaimers, limitations of liability, indemnification, and dispute provisions.
14. Disclaimers
The service is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties, whether express, implied, statutory, or otherwise, including implied warranties of merchantability, fitness for a particular purpose, title, non-infringement, uninterrupted availability, accuracy, and data preservation.
15. Limitation of liability
To the fullest extent permitted by law, Purchase Order Tracker and its owners, operators, employees, contractors, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages; lost profits; lost revenue; loss of goodwill; business interruption; or lost, corrupted, deleted, or unavailable data, even if advised of the possibility of those damages. To the fullest extent permitted by law, our total liability for all claims relating to the service or these Terms will not exceed the greater of the amounts you paid to Purchase Order Tracker for the service in the 12 months before the event giving rise to the claim or US $25.
16. Indemnification
You will defend, indemnify, and hold harmless Purchase Order Tracker and its owners, operators, employees, contractors, and service providers from and against claims, damages, liabilities, losses, and expenses, including reasonable attorneys' fees, arising from your content, your use of the service, your violation of these Terms, your violation of law, or your infringement or misappropriation of third party rights.
17. Governing law, venue, and jury waiver
These Terms are governed by the laws of the State of Texas, without regard to conflict of law principles. Venue for disputes will be in state or federal courts located in Texas unless applicable law requires otherwise. You and Purchase Order Tracker waive any right to a jury trial to the extent permitted by law.
18. Changes to these Terms
We may update these Terms from time to time. Material changes will be communicated through the service, by email, or by posting updated Terms. The effective date and legalVersion above identify the current version. Continued use of the service after updated Terms become effective means you accept the updated Terms.
19. Entire agreement
These Terms, together with the Privacy Policy and any terms presented at checkout or in the billing portal, are the entire agreement between you and Purchase Order Tracker regarding the service and supersede prior or contemporaneous agreements on that subject. If any provision is unenforceable, the remaining provisions remain in effect. Our failure to enforce a provision is not a waiver.
